Privacy Policy

Last updated: 30 September 2026

Global Firearm Trainers (“GFT”, “we”, “us”) respects your privacy and is committed to protecting the personal information of everyone who uses this website, our training portals, or our shop.

This policy is written to meet the requirements of the Protection of Personal Information Act, 2013 (POPIA). It may change from time to time, so it’s worth checking back — the date above shows when it was last revised. By continuing to use this website or our portals, you agree that we may collect, use, store and otherwise process your personal information as described below.

1. What We Collect

What we collect depends on how you use the site. If you’re browsing, we collect only general technical/usage data (see Cookies, below). If you email us or submit an application or other form, we collect what you give us — typically your name, email address, phone number, physical or trading address, and occupational information. If you’re a training provider, instructor or moderator on our portals, we also collect identity numbers, accreditation and competency records, and documents you upload (certificates, proof of payment, portfolios of evidence, and similar). Shop customers’ order and delivery details are covered in our Terms & Conditions.

We don’t collect more than we need for the purpose it’s collected for. Identity numbers are collected only where an accreditation body (PFTC/SAPS) or a statutory record-keeping requirement makes it necessary.

2. When We Collect It

We collect personal information when you browse this website, submit a form, create or use an account on one of our portals, place an order in our shop, or correspond with us by any channel.

3. How We Use It

We use your information only for the purpose it was collected for — responding to enquiries and applications; administering provider, instructor and moderator accreditation; processing shop orders; meeting our own record-keeping obligations to accreditation and regulatory bodies; and, where you’ve agreed to it, sending you service or account-related communications by email or WhatsApp.

4. Who We Share It With

We don’t sell personal information, and we share it only where it’s needed to provide the service you’ve asked for, or where the law requires it: Sage, to process shop payments; Courier Guy, for orders shipped rather than collected; Resend and WhatsApp (Meta), to deliver messages you’ve asked for; and PFTC/SAPS, where confirming a training provider’s or instructor’s accreditation status is a statutory requirement of this industry. We may also share de-identified information for web traffic monitoring or statistical purposes, and identifiable information with law enforcement or the courts where legally required.

Two analytics tools are switched on for the public website: the Meta (Facebook) Pixel and Microsoft Clarity. Meta receives a record of which pages a visit views, technical details about the browser, and an identifier stored in a cookie, and may use that in line with its own privacy policy. Microsoft receives recordings and heatmaps of how pages are used. We have also built in Google Analytics 4, which is currently switched off; if we turn it on, we will update this policy first. None of these tools runs inside our training portals or admin system. See Cookies, below, for what each one does.

The map on our Contact page is provided by Google Maps. Opening that page makes your browser connect to Google, which receives your IP address and details of your browser, and may set its own cookies. Google’s own privacy policy applies to that.

5. Information Officer

Global Firearm Trainers has an Information Officer, as POPIA requires, who is responsible for our compliance with the Act. To reach them, whether about this policy, a data subject request, or a complaint, please use our Contact page and mark your message “Attention: Information Officer.”

6. Your Rights

Under POPIA, you have the right to ask us what personal information we hold about you and request a copy of it; ask us to correct information that’s inaccurate, outdated or incomplete; ask us to delete information we no longer have a lawful basis to hold; object, on reasonable grounds, to how we process your information — including opting out of direct marketing at any time; withdraw consent you’ve previously given, where our processing depends on it; and not be subjected to a decision based solely on automated processing that affects you materially. You may complain to the Information Regulator if you believe we’ve failed to meet these obligations. To exercise any of these rights, contact us via our Contact page.

7. Cookies

This site uses a small number of strictly necessary cookies to keep it working correctly, for example to keep you logged in to a portal session. On the public website it also uses the analytics cookies described below.

Two analytics tools run on the public website. The Meta Pixel places a cookie that lets Meta recognise a returning browser and records which pages are viewed, so we can measure visits that arrive from Facebook or Instagram. If you are signed in to Facebook or Instagram on the same browser, Meta may be able to link the visit to your account. Microsoft Clarity places cookies that let it recognise a returning browser, and provides recordings and heatmaps of how the site is used. Both show us roughly where a visit came from and which pages are viewed most, not who is viewing them.

Google Analytics 4, which would cover traffic, location and page-view statistics, is built into the site but currently switched off. It sets no cookie and collects nothing unless we turn it on, and we will update this section first. None of these tools runs inside our training portals or admin system, so provider, instructor and moderator activity there is not counted or tracked by any of them.

The Google map on our Contact page may also set cookies from Google when that page loads. Most browsers let you refuse or delete cookies through their settings, and you can manage how Meta uses this kind of information in your Facebook and Instagram ad settings. If you refuse cookies, some parts of the site, particularly the training portals, may not work properly.

8. IP Addresses & Security

We log IP addresses for system administration and to help keep the site secure. We don’t ordinarily link an IP address to a named individual, though we may do so where necessary to investigate misuse or protect our systems and users. We take reasonable technical and organisational measures to protect the personal information we hold, but no system can be guaranteed completely secure, and we can’t warrant that any file available from this site is free of viruses.

9. External Links

This site may link to third-party websites. Once you leave our site, that third party’s own privacy policy applies — we’re not responsible for their content or practices.

10. How Long We Keep It

We keep personal information only for as long as it’s needed for the purpose it was collected for, or as long as the law requires. Moderation and accreditation records are retained for 6 years, in line with our accreditation body’s record-keeping requirements. Order and payment records are kept as long as required for tax and accounting purposes. Communication logs are kept for a limited period and then automatically deleted.

11. Contact Us

Questions about this policy, or about your personal information, can be sent to us via our Contact page.
